Ogunquit Playhouse in Ogunquit, Maine seeks an Advancement Operations and Systems Specialist to join our team! Responsible for managing and optimizing organizational advancement processes to increase funding revenue and plays an integral role in supporting the organization’s fundraising, membership, and administrative goals.
The Advancement Specialist’s topline priorities are ensuring smooth workflow of significant Advancement team projects, maintaining the integrity of department data and processes, and ensuring that donors are promptly recognized and responded to. This individual has impeccable attention to detail, a positive attitude, and eagerness to learn industry trends and data management.
This full-time year-round position is hybrid Monday – Friday with some evenings and weekends required. The typical work week is 40 hours, though this position is eligible for overtime when additional hours are required.

Job Duties/Expectations include (but are not limited to)…
- Work closely with Advancement team in creating and implementing advancement operation procedures, policies and strategies
- Provide administrative support for all aspects of fundraising and donor cultivation efforts, including but not limited to gift processing, acquisitions and renewals, donor acknowledgements, benefits packets, and recognition programs and mailings
- Accurately record contributions, memberships, and pledges to the database
- Generate acknowledgements for all gifts and pledges received
- Send and track all pledge payment reminders
- Process check requests and expense reports
- Oversee systems for contributions processing, including Donate2, Stripe, and Auctria
- Serve as editor and Advancement department point person for Advancement content of all Playbills, coordinating Advancement content, working with team to prepare the donor listings
- Serve as Advancement department point person to update and maintain donor names for website
- Create and tailor financial reports using Tessitura’s reports, outputs sets, Analytics, and Excel, into formats requested by various stakeholders
- Lead the department’s CRM system improvements in Tessitura, Analytics, and Wordfly, as well as identifying and championing various tech solutions that support fundraising goals
- Budget management and monthly financial reporting for revenue
- Support Director of Advancement in generating Tessitura reports, monitoring outstanding pledges, coordinating appropriate invoicing and fulfillment with other department staff
- Support Director of Advancement with administering the Hartwig Legacy Society
- Provide assistance with fundraising and engagement events
- Provide ongoing analysis of the Annual Fund campaign and develop strategy adjustments accordingly.
- With Advancement Associate, build Auctria platform for silent auction
- Perform other duties as assigned in support of the Advancement department’s goals
- Availability to work evenings and weekends as needed
Qualifications
- Previous experience with Tessitura is required; v16 is strongly preferred
- Knowledge of Microsoft Office (Outlook, Excel, PowerPoint)
- Previous experience with Annual Funds
- Strong organizational skills and impeccable attention to detail
- Ability to think proactively, prioritize work, and meet strict deadlines
- Ability to work both independently and as a member of a team
- A proactive approach to problem solving and strong decision-making skills
- Excellent communication skills (writing, speaking, and listening)
- Ability to work with and learn new databases
- Discretion with handling confidential information
- Ability to train colleagues and teach technical skills and processes
Position is a W2, $25 – $27 /hr based commensurate with experience. Vacation, Sick Time, Paid Holidays, Health Insurance, Dental Insurance, Vision Insurance, Short Term/Long Term Disability Insurance, Life Insurance, and 403(b) Retirement Plan included. Typical work week is 40 hours, though this position is eligible for Overtime when additional hours are required.

Ogunquit Playhouse in Ogunquit, ME seeks a Box Office associate for our 2025 Season. Approximate dates of employment are between April and November. Work is both on-site and remote.
Ideal Candidate must be detail-oriented, organized, and focused in a fast-paced working environment. Previous ticketing experience and familiarity with Tessitura or other CRM systems are a plus.
Job Duties/Expectations include, but are not limited to…

Master the use of Tessitura, our multilevel ticketing system.

Assist in all sales — single tickets, season passes, discounts/promotions, lodging partners, comps, and vouchers.

Assist customers in a positive professional manner.

Ability to manage high call volumes and walk-up interactions with accuracy and grace.

Follow procedures, using common language and established marketing messaging.

De-escalate customer issues by maintaining a calm and helpful demeanor.

Manage conflict resolution up to a supervisor when necessary.

Daily database cleanup and additional projects as assigned.

Assist Front of House (FOH) staff to resolve customer issues as needed.

Attend one performance for each mainstage production within the first week of the run.
Necessary Skills

Compensation: $15.48 /hour, with overtime possible.
